ROOMS — building wealth together

Privacy
notice

How ROOMS® collects, uses and protects your personal information when you request a brochure, subscribe to our newsletter, chat with us or take the personal assessment.

Last updated: 15 October 2026

1. Who we are

This notice is provided by Rooms & Co Ltd, trading as ROOMS®, the company behind the ROOMS® franchise network. We decide why and how your personal information is used on this website, so in data-protection terms we are the "controller".

You can reach the franchise team at opportunity@rooms.life or by post at 80 Camden Road, Tunbridge Wells, United Kingdom.

We are registered with the Information Commissioner's Office (ICO). Our registration number is ZC269529.

2. What we collect and why

We only ask for what we need to have a useful conversation with you. Here is exactly what each part of the site collects.

  • You request the brochure

What we take: First name, last name, email address, phone number, location, your message, and whether you ticked the mailing-list box.

Why: To answer your enquiry, send the brochure and prospectus, and keep a record of the conversation so any member of the team can pick it up.

  • You subscribe to the newsletter

What we take: Your first name and email address.

Why: To send the monthly ROOMS® newsletter and franchise news, and to prove you asked for it.

  • You use the chat

What we take: The messages you type. If you ask for a call back, we also ask for your name, email, phone number and the town or city you are interested in.

Why: So the assistant can answer your question, and so a human from the franchise team can follow up if you ask for one. The chat transcript is saved.

  • You take the personal assessment

What we take: Your answers to the quiz questions, on the "Is Property For You?" page.

Why: To show you your score and tell you where you are strong. The assessment runs on ScoreApp's platform, so your answers are collected and held by them.

  • You browse the site

What we take: Limited technical information, such as your IP address and which pages you viewed, used to spot automated abuse.

Why: To keep spam, bots and repeated junk submissions off our forms and off the team's inbox.

3. Our legal grounds for using it

Legitimate interests — answering your enquiry, sending the brochure and prospectus, following up on a conversation you started, and protecting the site from spam and automated abuse.

Consent — marketing emails. The newsletter and the mailing-list tick box are always your choice, and you can change it at any time.

Contract — if you become a ROOMS® franchisee, we use your information to run the franchise agreement, training and support.

Legal obligation — where we must keep or disclose something, for example to a regulator or under tax and anti-money-laundering rules.

4. Who we share it with

We do not sell your personal information, and we do not pass it to other organisations to market to you. We do use a small number of services to run this website and its communications, and each one sees only what it needs.

  • Our website platform and database host (Lovable Cloud)

Stores your enquiry, newsletter record or chat transcript so the franchise team can read and answer it.

  • Our email delivery service (Lovable managed email, sent from notify.roomsfranchise.life)

Sends your brochure thank-you email and prospectus link, and passes enquiry details to the team's inbox.

  • Campaign Monitor

Holds newsletter subscribers, handles unsubscribes and preference updates, and sends the monthly emails.

  • Our AI assistant service (Lovable AI Gateway)

Reads your chat messages in order to draft a reply. A human can take over the chat at any point.

  • ScoreApp

Runs the personal assessment and holds the answers you give in it, under their own privacy terms.

  • Professional advisers — accountants, lawyers and franchise consultants

Only where needed to run the business or support a prospective franchisee.

  • Regulators, courts or the police

Only where we are legally required to disclose information.

Some of these services process information outside the United Kingdom. Where they do, we rely on the transfer safeguards they hold under UK law.

5. How long we keep it

Enquiries, chat transcripts and assessment results are kept for 2 years after our last contact with you, after which they are deleted unless you have joined the franchise or asked us to stay in touch.

Newsletter records are kept until you unsubscribe, and unsubscribe requests are kept so we can continue to honour them.

6. Marketing emails

You only receive marketing from us if you asked for it — by ticking the mailing-list box on the brochure form, or by subscribing to the ROOMS® newsletter. Every email we send includes a working unsubscribe link, and Campaign Monitor also gives you a preferences page so you can change what you receive without unsubscribing completely.

If you only want the franchise brochure and no marketing, leave the box unticked — that does not stop us answering your enquiry.

7. Cookies and similar technology

This website does not currently load advertising or tracking cookies, and we do not run a cookie wall. A small amount of storage is used for things you would expect to work: remembering staff sign-in on the private studio area, and keeping your place in a chat.

The personal assessment on the "Is Property For You?" page is embedded from ScoreApp, and ScoreApp may set its own cookies while you are filling it in. Their privacy terms apply to that form.

If we ever add analytics or advertising pixels to this site, we will put a consent notice in place first, so nothing non-essential runs until you agree to it.

8. How we protect it

The site is served over HTTPS, access to enquiry, newsletter and chat records is limited to people who need them to do their job, and our forms are protected against bots and automated abuse. No method of storage is completely risk-free, so we keep the information we hold to the minimum needed.

9. Your rights

You have the following rights over your personal information. Ask us at privacy@rooms.life, and we will come back to you within one month.

  • Access. Ask for a copy of the personal information we hold about you.
  • Rectification. Ask us to correct anything you believe is wrong or incomplete.
  • Erasure. Ask us to delete your information where we have no legal reason to keep it.
  • Restriction and objection. Ask us to stop using your information, or object to processing based on our legitimate interests.
  • Portability. Ask for the information you gave us in a usable format.
  • Withdraw consent. Stop marketing at any time — every email has an unsubscribe link.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.

10. Changes to this notice

We may update this page as the business or the services we use change. The date at the top of the page shows when it was last revised, and significant changes will be announced to newsletter subscribers.
